Patient Care Coordinator/Medical Assistant

Hometown Urgent Care is seeking a Part Time Patient Care Coordinator/Medical Assistant to work at our Youngstown location and occasionally travel to our Warren, Ohio location. The ideal candidate will have a positive attitude, be a team player, and used to high volume of patients. We are looking for someone who is seeking a long-term employment opportunity and is okay with working both front and back office.

This is a part time position: Most shifts will be 4pm-8pm, and weekends 9am-5pm. Average hours per week 16-24.

Job Description:

The Patient Care Coordinator provides support with daily activities of the center including greeting patients and visitors answering incoming calls, patient registration and patient referrals. Serve as liaison between patients and the medical support staff. Perform and follow through with clerical and secretarial activities inherent to the operations and needs of the department under the direction of the manager. Work closely with the medical support staff to ensure efficiency and optimal delivery of services. Provides back up support to the medical assistant and clinical staff


Welcome patients and visitors into our Care Centers with compassion and provide exceptional customer service.
Answer telephone, screen and direct calls, takes messages and provides information.
Prepare the clinic for opening each day by reviewing the facility, opening all systems applications, and preparing new patient registration packets and required documents
Provide patients initial paperwork, and obtain copies of insurance and identification cards.
Register patients, update patient records, and verify insurance accurately and timely.
Follow company procedures related to workers’ compensation and occupational medicine patients.
Determine, collect and process patient payments and address collection and billing issues.
Discharge patients accurately and timely by collecting balances, providing patient documentation, and following discharge procedures.
Respond promptly to customer needs, provide excellent customer service, assist patients with follow-up appointments, and fulfill medical documentation requests.
Balance daily patient charges (cash, check, credit cards) against system reports.
Complete closing procedures by preparing closing documentation and submitting required reports.
Prepare, sign, and drop the deposit in the safe on a nightly basis.
Complete cash control procedures and secure financial assets.
Maintain complete and accurate documentation.
Maintain office supplies.
Observe safety and security procedures; promote a safe and pleasant work environment.
Regular attendance to ensure efficient clinic operations.
Updates job knowledge by participating in educational opportunities
Travel to care centers within designated region.
Maintain work area and lobby in neat and orderly manner.
Utilize formal channels of communication to report concerns, personal requests and patient issues.
Respect patients' right to privacy and confidentiality.
Maintain an orderly and professional working atmosphere.
Report to work properly dressed according to the approved dress code.
Adhere to guidelines concerning working hours and break periods.
Understand and follow department's organizational policies and procedures.
Assist center manager in prioritizing work activities, evaluating effectiveness and modifying activities when necessary.
Meet deadlines for work assignments and inform work status and progress to supervisor.
Communicate and cordially work with other staff to ensure efforts are coordinated and a high quality of service is provided.
Perform related work as requested.

Medical Assistant

This is a Full-Time position with up to 40 hours per week. Hours range Monday - Friday between 8:00am - 4:30pm. Experience with EpicCare is preferred! 

Assist physicians with various aspects of patient care (including clerical, environmental, and organizational tasks) ensuring patient satisfaction. 

Answering calls and providing pertinent information including patient education as directed. 
Check schedules and organizing patient flow. Accompany patients to exam/procedure room. Assist patients as needed with walking, transfers, dressing, collecting specimens, preparing for exam, etc. Collect patient information/history; taking vitals, performing screenings per provider guidelines. Relay instructions to patients/families. 
Comply with requirements of appropriate regulatory agencies (i.e. OSHA, CLIA, PA Department of Health). Maintain strict confidentiality related to medical records and other data. Comply with all UPMC Health System policies and procedures. 
Obtain lab/x-ray reports, hospital notes, referral information, etc. Complete forms/requisitions as needed. Schedule appointments. Verify insurance coverage and patient demographics. Prepare and managing charts to ensure information completed and filed appropriately. Other front office responsibilities, as required. 
Perform phlebotomy, EKG's, and level one labs. Perform clinic procedures according to policy and procedure. Assist physicians with procedures. Document patient information into the medical record. 
Prepare patient rooms, set up instruments and equipment according to department protocol. Clean exam/procedure rooms, instruments and equipment between patient visits to maintain infection control. Clean according to scheduled maintenance program and keeping appropriate records. Manage inventory of supplies; restocking exam/procedure rooms. 
Send/receive patient medical records in accordance with Health Insurance. Portability and Accountability Act (HIPAA) and other state and federal regulations. 

Applicants will be placed in the appropriate job title and salary from the Medical Assistant Career Ladder, based on their individual experience and education. 

High school diploma or equivalent is required. 
Successful completion of Medical Assistant program preferred or equivalent hospital program or minimum of one year of direct patient care experience. 
Must have basic computer skills and knowledge of medical terminology, examination, diagnostic and treatment room responsibilities. 

Licensure, Certifications, and Clearances:
CPR required based on AHA standards that include both a didactic and skills demonstration component within 30 days of hire

Act 33 Child Clearance with Renewal

Act 73 FBI Clearance
